# Module 5: Importing Financial Data, Scoping and Materiality

Engyon supports the import of trial balances, financial statements, and consolidation schedules. The imported financial data is used throughout the application, for example in the `Scoping Matrix` and in the `Lead Schedules` for financial statement line items.

Materiality can be documented in the audit and compared against the imported financial data. It can then be used to plan and perform audit procedures.

In this module, we will import trial balances, document materiality, and use this information to perform the initial scoping within the engagement.

> Financial statements and consolidation schedules can be imported in a similar way as trial balances.

### Importing Financial Data

1. Set the file to group level (see *Group File* in [*Module 2: Group File*](/engyon/en/training/training-english/module-2-group-audits.md) for instructions on how to navigate within a group file), go to *Work `Procedures`* (in the navigation bar) and click on the procedure `General` under `Execution`, then open the procedure `Audit of Consolidation`. A source request is linked to this procedure.
2. Go to `Sources` in the top-right corner, publish the source request `Consolidation schedule`, and upload the document containing the consolidation statement (see the download link for this file below), if this has not yet been done. Document:

{% file src="/files/0gMV8Aqbv2iGUAq1KzI2" %}

3. Once the document has been added to the engagement, navigate back to the `Recording` tab. Click the file name *‘Consolidation sheet Fictiva Holding 2026 categorial model.xlsx’*. Here you can import the consolidation statement by clicking the play button (<i class="fa-play">:play:</i>) and then selecting <kbd>Ingest financial statement</kbd>.
4. Configure the import of the consolidation schedule by mapping the columns in the consolidation file. Assigning the rows in the consolidation schedule to financial statement lines is done under <kbd>Generic columns</kbd>. For <kbd>RGS Code</kbd>, select the column that contains the RGS coding, or if this column is not available, select <kbd>Annual accounts (name)</kbd> for the column that contains the names of the financial statement items. Only one of these can be selected; choosing one clears the other. In the example file, both are available, so we select the column *'RGS'* for the RGS code.

**Matters of attention when importing figures from a consolidation schedule**

1. RGS stands for *‘Referentie Grootboek Schema’* (Reference Chart of Accounts) and is a standardized chart of accounts. Use this column when it is available, as it is the least prone to errors.

2. When importing based on the names of the financial statement lines, these names must match the item names in Engyon exactly. If they do not match exactly, the figures on that row will not be imported.

3. When importing at consolidation‑statement level or financial‑statement level, you can only import figures at the level of the predefined financial statement items, and not at the level of sub‑items / categories / general ledger account groups (such as revenue streams) or individual general ledger accounts.”
   {% endhint %}

4. Then map the remaining columns as well:

<figure><img src="https://3419470012-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FlCLpgvBdsI5EtVhqOksu%2Fuploads%2Fgit-blob-8c17b18d7e58beb58c6bf385821e2246634ad285%2Fimage%20(81).png?alt=media" alt=""><figcaption></figcaption></figure>

7. Record the figures by clicking `Ingest`. Next, 108 amounts will be imported because the structure of the items matches the template.
8. Go to the `Checks` screen to review the imported figures. In this screen, you can see the totals per line item so you can compare them with the consolidation schedule. You can also see the sum of the asset and liability items, allowing you to verify whether they are equal.
9. Then click `Scoping` in the navigation bar to view the imported figures.
10. When you want to add subcategories to Financial Statement lines (such as different revenue streams under revenue), go to `Settings` and `Annual accounts` then click the **+** sign `Add child general ledger account group` on the right of the relevant line.\
    When you have imported financial data via a consolidation schedule (as in this training), you cannot numerically allocate the total of the financial statement line to the subcategories. However, you can assign risks and procedures specifically to the subcategories.

### Materiality

1. Navigate back to group level by clicking the network icon and selecting `Fictiva Holding Group`.
2. Go to `Procedures` and open the `Materiality` procedure. Then open the procedure step `Determining Materiality, Performance Materiality and Clearly Trivial Misstatements`.
3. Complete the first activity by clicking `Main Materiality` under `Context-Specific Information` on the left-hand side.
4. Enter the materiality amounts in the modal that opens:
   1. Overall Materiality: 2,000,000
   2. Performance Materiality: 1,400,000
   3. You can also enter 70% below 'Percentage' for performance materiality and then click the calculator icon (<i class="fa-calculator">:calculator:</i>) next to 'Value'. Engyon will then calculate the performance materiality amount based on this percentage and the overall materiality.
   4. By expanding 'Calculation', you can have Engyon determine a suggested materiality and performance materiality based on the relevant benchmark and factors that influence the level of materiality. In this training, it is not necessary to fill this in, but you can try it out if you want.
5. If needed, add an additional materiality that applies to (a) specific financial statement line(s). To do this, click the `+ Materiality` button in the top-right corner of the procedure `Determine materiality, performance materiality and clearly trivial misstatements`, or go to *Settings* → *Materiality* → *+ Materiality*. Enter the figures that apply to the selected financial statement line(s).

### Scoping

1. Navigate to the `Scope` page using the navigation menu. This page is only visible at group level. The page shows the financial data per financial statement line item (rows) and per component and, if imported, eliminations (columns). For each cell, bold green text indicates whether the data exceeds materiality.
2. Click several rectangles for financial statement line items and audit units shown in bold green to bring them `In Scope`.
3. Then click the icon (broadcast tower) <i class="fa-tower-broadcast">:tower-broadcast:</i>to automatically add general procedures to the financial statement line items that have been brought in scope. In the modal that opens, confirm the selection on both 'group level' and 'component level'. The general procedures will now be created separately for each component.
