# Firm instructions

Maintain organisation instructions for procedures via Options and Content, and read them on the procedure.

Via <kbd>Options</kbd> → <kbd>Content</kbd> you write organisation instructions for procedures from the work package. That text applies to all audits of your audit firm. On the procedure itself you see them back in the tab <kbd>Instructions</kbd> in the left column.

You need the role <kbd>Account Manager</kbd> or <kbd>Admin</kbd> at firm level to change organisation instructions.

## Maintaining organisation instructions

1. Click on <kbd>Options</kbd> at the bottom left.
2. Click on <kbd>Content</kbd>.
3. Choose a work package and a language.

You then see the overview of procedures: phases on the left, the list on the right. Archived procedures remain in the list, with the label <kbd>Archived</kbd>.

4. Choose a phase or <kbd>All procedures</kbd>. You can search with <kbd>Search procedures</kbd>. Click on the filter icon (<i class="fa-filter">:filter:</i>, tooltip `filter`), turn the switch <kbd>with organisation instruction or files</kbd> on and click on <kbd>apply</kbd> to only see procedures to which an organisation instruction or a file is linked.
5. Click on a procedure to edit the organisation instruction.

Next to the name you see whether there is already an organisation instruction (icon <i class="fa-align-left">:align-left:</i>, tooltip `has organisation instructions`) and whether a content update is available.

## Editing organisation instruction

The text under <kbd>Organisation instructions</kbd> is markdown. Links in the text open in a new tab.

1. Write or change the text.
2. Click on <kbd>Save</kbd>. That button is only green after you have changed the text. With <kbd>Clear</kbd> you empty the text; the procedure remains in the overview.

If there is a newer text from the work package, you see <kbd>Content updates</kbd>. Choose <kbd>Keep current</kbd> or <kbd>apply</kbd>.

## Files with an organisation instruction

Under the text is <kbd>Files</kbd>. These files belong to the firm: you can link the same file to multiple procedures. In the overview you see the paperclip icon (<i class="fa-paperclip">:paperclip:</i>, tooltip `has organisation files`) if there are files.

1. Click on <kbd>Add file</kbd>.
2. Choose <kbd>Add new file</kbd> to upload a file, or <kbd>Select existing file</kbd> to link a file that already belongs to the firm.
3. For a new file: choose the file and click on <kbd>Upload</kbd>. For an existing file: check the files and click on <kbd>Add</kbd>.

Click on the file name to download the file. With the delete icon (<i class="fa-trash">:trash:</i>) you remove the file from this procedure. If no other procedure uses the file anymore, the file will be deleted.

On the procedure you see in the tab <kbd>Instructions</kbd> next to the file name the download icon (<i class="fa-download">:download:</i>, tooltip `download file`) and the copy icon (<i class="fa-copy">:copy:</i>, tooltip `use as audit documentation`). That tab also appears if there are only files, without text. With copy you copy the file as audit documentation to an activity of this procedure. The file is then also available under <kbd>Record</kbd> and <kbd>Sources</kbd>.

## Organisation instructions on the procedure

If there is text, the tab <kbd>Instructions</kbd> is the second tab in the left column of the procedure, next to <kbd>General</kbd>. Everyone who is allowed to open the procedure can read the text. Changing is done via <kbd>Options</kbd> → <kbd>Content</kbd>.
